Administrative Assistant

At the College of Optometrists of Ontario, we regulate the practice of optometry to help keep Ontarians safe. The public has a right to high quality eye-care, and our goal is to make sure that every practitioner follows a strict code of ethics and conduct that respects those rights.

Now we are looking to add a member to our team who can hit the ground running and ensure the smooth functioning of our office for a 6-month contract with a possible extension.

That’s where you come in

As our new Administrative Assistant, you’ll be taking on a range of essential tasks related to the proper everyday functioning of our office, and you’ll need to be adaptive as new challenges arise.

The first part of this role involves maintaining and updating our files and records. Using your exceptional computer skills, you’ll maintain accurate records for our members, and draft standard correspondence for the College.

The second part of this role involves office support: reception at the front desk by phone and in person, sending and receiving mail and shipments, and maintaining our kitchen area after functions and meetings.

There will typically be plenty of things to do around the office, so you’ll need to work collaboratively with our other admin staff member to prioritize tasks as necessary.

You’ll be perfect in this role if you’re:

  • Organized – when it comes to getting things done on time, you create systems that keeps you organized. Priorities, deadlines, urgencies: you keep tabs on it all.
  • Detail-oriented – when it comes to data entry and records, you’ve got everything double-checked and ready to go.
  • Flexible – you can switch form one task to another with ease. Interruptions are just detours on your way to getting things done.
  • Client-focused – you’re great with people and whether you’re talking to coworkers or key stakeholders, you’re always clear and effective.

Working at the College of Optometrists of Ontario

This will be a full-time, 6-month, potentially renewable contract position, with hours from 9am to 5pm, Monday to Friday You’ll make a great starting salary, commensurate with your skills and experience.

  • Diploma in office administration or related field
  • Experience working in office administration
  • Intermediate computer skills, including MS Office (especially Excel, Word, and PowerPoint)
  • Experience with data entry
  • Experience managing databases  (experience with iMISs would be an asset)
